This guide is meant to ensure all compliance metrics are satisfied and the on-boarding of the stipend recipient is seamless especially during high volume periods.

  1. Required documentation
    a. Executed Stipend Intern Agreement 
    b. Stipend Intern Information Sheet 
  2.  Please submit complete request four-to-six weeks in advance of the applicant’s start date.
  3.  Please see: CHOP's FY 22 Pay Processing Schedule for WORKDAY transaction deadline. FY’23 schedule will be published, as soon as, the data is available.

    PLEASE NOTE: the stipend administrator manages the stipend recipients on-boarding in WORKDAY/NEP. If the applicant is active in WORKDAY (holding a contingent seat), the on-boarding may be delayed while the current status is terminated, and the applicant is moved into the stipend intern role. The applicant must be active in WORKDAY by the WORKDAY transaction deadline for eligibility to receive their stipend adjudication on the aligned pay date listed. For example, the stipend recipient must be on-boarded and active in WORKDAY before 6/10/2022 to receive a stipend payment on 6/30/2022 (CHOP’s final pay day for FY’ 22)

  4. Stipend payments are issued via CHOP Payroll and distributed as follows:
    a. Live check – mailed to the stipend recipient’s home address listed in WORKDAY.
    b. EFT – issued to the stipend recipient’s financial institution with enrolled in direct deposit.
  5. Off- Boarding Guidance 
    a. PI/PI designee’s guide to off-board the applicant from stipend status to contingent (if the applicant is moving to non-paid once the stipend contract ends).
